Task: Identify Gaps In Current Documentation
The intent of this task is to evaluate the sufficiency of documents for each service, in terms of its completeness (coverage), availability & integrity and identify the gaps, if any.

The Knowledge Exchange Lead  must assess adequacy of documentation for each service and  build a Documentation Log for it. Wherever possible at this stage the knowledge repository must be populated. An inventory of available documentation should be created. The structure of any existing knowledge repository should be reviewed and customization, if required should be recommended.

 

The outcome from the review should be an assessment of the suitability of the knowledge repository structure to support the proposed Service Delivery Model at Handover phase. The design of the knowledge repository for the transition and on-going service should be reviewed along with the process to add artifacts in the repository.

 

Sometimes documentation can become a ‘black hole’ if that existing documentation is not complete or accurate. Often cognizant teams are asked to correct or complete the documentation. This should only be considered if the activity was scoped and priced.
